JOB SUMMARY:
Under the direct supervision of the Client Services Manager, Administrative Assistant to the Client Services Department maintains constant contacts with customers and clients with the aim of promoting good customer/company relations by providing a bridge for smooth communication between internal staff and external clients.
QUALIFICATION AND EXPERIENCE:
(a) Education:
- First Degree or Associate Degree in Business Administration from a recognized Territory Institution.
Or
- Secretarial Diploma from a recognized institution
Plus
- Certified Professional Secretary or equivalent.
(b) Experience:
- A minimum of three (3) years administrative experience in an administrative capacity.
SPECIAL SKILLS & APTITUDE
- Proficiency in computer skills, particularly word processing and spreadsheet applications;
- Good problem solving and decision making skill;
- Ability to work with minimum supervision and the ability to supervise the work of others;
- Excellent customer service and interpersonal skills;
- Proficiency in office procedures and use of office equipment and advanced technology;
- Ability to multitask, motivate and work in a team
DUTIES AND RESPONSIBILITIES:
- Maintain up to date records in a manner that facilitates speedy access and retrieval of files an documents, emphasizing greater use of electronic storage medium and less paper;
- Prepares staff performance evaluation report for execution by the Client Service Manager;
- Assists in coordinating matters relating to the landscaping an sanitation at the properties;
- Dispatch correspondence and reports to required destinations on a timely basis;
- Assists in ensuring that customer service issues are resolve in an amicable manner;
- Perform any other administrative duties required by management;
- Liaise with utility companies on problems affecting clients’ companies;
- Obtain quotations from suppliers of goods while adhering to procurement guidelines;
- Draft response to correspondence of a routine nature for approval by Client Services Manager;
- Responds to queries from prospective tenants;
- Type a variety of correspondence and reports from draft, oral dictation or tapes and does so accurately and efficiently;
- Collect and maintain data in keeping with Jamaica Free Zone Act.
